Across the legal industry, attorneys and corporations increasingly rely on electronic data transfers for even the most basic legal billing transactions. Modern legal software makes it easier for legal professionals to handle these transactions. However, to fully take advantage of this software, legal professionals must have access to reliable, standardized data formats for all legal billing information.

The Legal Electronic Data Exchange Standard, or LEDES, is the universally accepted standard of electronic file format specifications for transmitting billing and other electronic data among corporations, government departments, and law firms. The LEDES format provides attorneys and other legal professionals with universalized open standard file formats for the electronic exchange of legal data. Attorneys and legal IT professionals can use the LEDES format to facilitate billing, financial management, contracting, and other essential legal billing processes. Getting the most out of LEDES files requires investing in high-quality LEDES billing software.

What Is LEDES Billing?

Over the past few decades, more and more transactions within the legal profession have moved from physical paper to digital files. While this provides much more convenience and flexibility, an initial lack of standardization in digital legal files often caused unnecessary headaches. Law firms working with several different clients, vendors, and outside counsel often had to switch to a different file format when billing or paying those different entities. This made the billing process unnecessarily cumbersome, created more work for legal professionals, and caused significant delays and confusion when incorrect file formats were used.

LEDES provides a clear, universal standard for legal billing file formats. When working with LEDES file formatting, legal professionals can use standardized coding for specific file types relevant to the legal industry. When creating an invoice, a legal professional using LEDES formatting can input specific, universally recognized codes for information like areas of law, specific tasks or services provided, or categories of expenses.

History of LEDES Format

The LEDES format was first developed in 1995 by the Legal Electronic Data Exchange Standard Oversight Committee, an international nonprofit organization comprised of legal industry professionals. Initially, LEDES standards used pipe-delimited plain text file formats. However, beginning in 2000, LEDES editions began to use XML file formats.

The first widely-accessible LEDES format was introduced in 1998. However, this format is no longer in use. Since then, there have been six editions of LEDES format standards released every few years. They are, in chronological order:

  • LEDES1998B (1998)
  • LEDES XML 2000 (2000)
  • LEDES 1998BI (2004)
  • LEDES XML 2.0 (2006)
  • LEDES XML 2.1 (2008)
  • LEDES XML 2.2 (2020)

What Are the Benefits of LEDES Billing?

LEDES billing software provides law firms, legal offices, and solo practitioners numerous benefits for the billing process.

Simplicity

Access to simple, standard file formats in all billing processes will minimize the time your employees need to spend on billing issues. Instead of having to learn and use different file formats for different clients or vendors, LEDES formatting gives you easy-to-use standard formatting for all financial matters.

Standardization

The billing process of even the smallest and most specialized law firm is no simple task. Invoices and other billing files must often contain data on different clients, services provided, time logs, activities, tax information, etc. With standardized file formats, your law firm can easily integrate all necessary data into the billing process without wasting time and energy going back and forth between different formatting standards.

Comprehensive billing

Billing in the legal industry takes many different forms. With standardized LEDES billing software, law firms can achieve comprehensive billing across different types of services, rates, payment types, and areas of specialization without adjusting to different standards.

Ease of tracking and reporting

Tracking your invoices and financial records can help your organization understand how employees spend their time and what services clients want and need the most. Standardized LEDES file formats make it much easier for law firms to track their billing processes and create reports. Because LEDES codes are uniform, you can easily identify all tasks and invoices in a specific category and quickly gain valuable insights into how those activities contribute to your organization’s bottom line.

LEDES and UTBMS Codes

One key aspect of LEDES file formatting is the use of Uniform Task-Based Management System, or UTBMS, codes. UTBMS codes are standardized codes that classify specific billed items by legal matter. UTBMS codes are primarily used for invoice creation in LEDES billing software. These codes provide the invoice recipient with information in a specific, standardized format that lets them quickly identify billed matter or activities.

Under current LEDES standards, UTBMS codes consist of the following subcategories:

  • Task codes describing a specific service provided by a legal area
  • Activity codes identifying specific services provided
  • Expense codes categorizing various expenses made by a law firm

How To Create an Invoice With LEDES Format

LEDES file formatting and LEDES billing software make the legal invoicing process much simpler compared to earlier methods. Quality LEDES billing software can automatically generate LEDES-compliant billing codes in an invoice with only minimal data entry on your end. To input data, you or your firm’s employees only need to identify the specific tasks, activities, and expenses essential for an invoice. Then, you can identify the specific UTBMS codes for each and enter them into your LEDES billing software.

So, for example, if you need to send an invoice for written discovery, research, and court fees, you would classify each under “task code,” “activity code,” and “expense code,” respectively. You would then use the specific UTBMS code for your LEDES invoicing. The resulting code might look like this:

  • L310 Written Discovery
  • A102 Research
  • E112 Court Fees

These codes can be created manually, but more and more law firms are turning to LEDES billing software to handle their invoicing needs.
